Dear Participant,
We thank you for your registration and look forward to your participation in the 2021 Conference of the European Forum and. We have set ourselves the goal to organize an inspiring event for you.
The moderators and some speakers will talk to you from our studio in Berlin. All participants are encouraged to join and contribute to the online discussion. To be able to fully enjoy the conference, please have a look at the information below. There you can find some helpful recommendations for the best possible user experience.
1. Access to Conference

All information, content and access to the different parts of the online conference are available on the event page https://www.europeanforum2021.eu. This will be your central access point during all conference days.
There, under the menu item "live “, you will find the daily schedule and the access details to the sessions. To gain access, please use your e-mail address and the password you have received during registration. In case you do not remember your password, please click on „Forgot your password" to generate a new one. Follow the instructions and login with your newly created password.

2. Conference Language

The main language for the conference will be English. The conference’s plenary sessions will be streamed, while for the interactive sessions the conference tool Zoom will be used. For the streamed sessions, you will be able to choose between simultaneous translations in English, French, German, Spanish or Russian. With a few exceptions, the stage language will be English. Some of the Zoom sessions will also be translated simultaneously in the aforementioned languages while others will not. Those, which lack simultaneous translation, will be provided with live subtitles in the five conference languages. Please also note the brief instructions for participating in the Zoom sessions as and the notes on translated subtitles.

3. Preparation for Conference

If you would like to prepare for the conference, we recommend the following:
3.1 Hard- and Software:
• To participate, you need a desktop PC or laptop with a microphone, camera, and sound output, as well as an internet connection.
• Please make sure you have the latest version of your browser and operating system installed. We recommend Google Chrome, Mozilla Firefox or Microsoft Edge as browsers. Please note, the Microsoft Internet Explorer is out of date, and therefore not compatible with the conferencing tools.
• Please note, the internet connection via (LAN) cable is usually more stable and reliable than a WIFI connection.
• To watch the stream and work with Zoom or any other interactive tool at the same time, we would recommend using either two monitors with your computer or one large monitor. If possible, when using a laptop, preferably you would want to use an additional screen.
• For good audio quality, we recommend using either headphones with a microphone or speakers with the built-in microphone in your device.
• Participation via tablet or smartphone is not recommended. However, you could use it for the subtitles or the other interactive tools.
• We also recommend using an HD webcam positioned at eye level or slightly higher.
3.2 Personal health and comfort:
• You should consider using a comfortable, ergonomic table and chair during the conference.
• Please make sure to have a quiet environment with as little reverberation as possible.
• Please see to constant and sufficient lighting avoiding daylight with its changes.

5. Participation Conference Stream

You can find the current live stream under the menu item "live". You can start it by clicking the play symbol. You can also select your preferred language there. In case of an unstable internet connection, it may help to restart your browser and log in again. Please avoid opening further browser tabs or windows and other apps or programs in order to improve the streaming quality.

6. Participation Zoom Sessions

You can also access the respective Zoom sessions under the menu item "live". If you would like to participate in a session, please click the button for the selected session. A new browser tab or your Zoom Client will open.
Please find some helpful information on Zoom:
• We recommend testing Zoom beforehand in order to avoid any malfunction. For a test meeting, please follow this link: Test meeting
• We strongly recommend previous testing in order to adjust your company’s specific IT security settings. Access via remote or virtual desktops (e.g. terminal servers, Citrix, Azure, VPN, etc.) should also be previously checked.
• As power settings and performance options can sometimes interrupt meetings, please check your settings early on for a stable connection and please ensure that apps and programmes are not running in the background if not necessary.
• For videos in HD quality, we recommend an upload bit rate of 5 Mbp/s via LAN connection (ethernet). If you do not have a wired connection at hand, please make sure that other users do not overload your WIFI connection.
• Please download the free Zoom Client for easy access to the sessions: Zoom Client

7. Topic Owners, Initiators, Facilitators and Rapporteurs

A topic owner is a person responsible for the respective session. They have prepared the sessions and will be present during the entire session. They will be supported by facilitators who will have you actively participating in the sessions. So-called rapporteurs will also attend the online sessions. They will document the session’s progress on digital whiteboards. These documents will be available to you during the conference as well as afterwards.
We are looking forward to your contribution and active participation. This will provide great insights and valuable results from the conference.
The following digital tools will be used at the conference:
• Digital whiteboards
The rapporteur records the contributions and results of each session. The whiteboards will be visible to you during the conference.
• Mentimeter
Facilitators will share links to Mentimeter and ask you to copy and paste them into your browser at specific points in time during the sessions. These will lead you to different survey formats that will be created to match each session’s theme progress. Feel free to participate, your expertise and individual opinion is an important part of the session.
• Miro
For some sessions, the collaboration tool Miro will be used. Again, the facilitators will point you to it, share the applicable links and give instructions for active use. Please do use it, as we need your expertise and individual opinion.
At some points during the conference, you will need to have the Zoom conference (browser or Client) and an additional browser tab and window open at the same time and to navigate back and forth. We realise that this can be challenging at times however, we would like to encourage you to try. We would also recommend practising the proceeding briefly before the conference in case you are not familiar with it.

8. Participation in Social Event Evening 16th June 2021

We have come up with something special for the social event on the evening of June 16th,2021. We would have loved to welcome you in Berlin. Since this is not yet possible, we cordially invite you to the BERLIN STORYS in the digital space. Be curious!
The social event will take place via wonder.me. In order to prepare the participation technically, please follow the instructions for wonder.me.
